A little preparation makes a software project clearer, faster and easier to estimate. Here is what to think about before your first meeting with a development team.

Custom software is built around your business, so the more clearly you can describe your needs, the better the result. You do not need technical knowledge to prepare well. You need a clear picture of the problem you want to solve.

1. Describe the problem, not only the solution

Start with what is not working today. For example: "Stock levels are tracked in several spreadsheets and are often wrong." A clear problem helps the development team suggest the best solution, which may be simpler than expected.

2. Identify the people who will use the software

List the different users, such as managers, staff, customers or partners, and what each of them needs to do. Different users often need different screens and permissions.

3. List the most important features

Write down the features you need from the start, then the ones that can wait. Separating "must have" from "nice to have" keeps the first version focused and helps control cost and timeline.

4. Gather what already exists

Collect examples of current documents, spreadsheets, forms or systems. If the new software must connect to existing tools, such as accounting software or payment services, note them too.

5. Think about budget and timeline

You do not need exact numbers, but a realistic range helps the team propose a plan that fits. It also helps decide what to build first.
